Prepare a document request before asking several companies to quote. This makes the offers easier to compare and helps identify missing evidence early.

Product identification

Request the exact manufacturer and model, current datasheet, installation instructions and model-specific warranty conditions. Clarify the product version and intended destination.

Evidence and traceability

Ask for applicable certificates and their scope, including the issuing organisation and covered models. Confirm the supply company’s role and how serial-number and warranty questions will be handled.

Commercial details

Record quantity, quotation validity, payment arrangements, shipping terms, estimated delivery and exclusions. Treat an estimated delivery as a supplier statement until it is contractually confirmed.
